How it works

Step 1: Register

Title

Register your school or registered child care centre by September 26. Click the "Register Here" link at the top of the page and fill out the online registration form to be added to our email list to be notified of all future updates. If your school is not listed in the drop down menu please email contact@freshfromfarm.ca to confirm eligibility. There is no obligation to complete a campaign if you decide not to later. This provides us an estimate of number of participants for planning purposes. You will confirm your participation after you complete Step 2. 

Step 2: New This Year: Webpage

Title

In early August you will be emailed a link to your schools own personalized fundraising webpage that you can add your school logo and text about your fundraising campaign.

Your school community and customers will order and pay for their vegetable and/or apple bundles directly from your schools designated webpage.  There will also be an option to purchase a bundle for a local charity in your community. No more collecting order forms or payments.  All product will continue to be delivered to your school for your customers to pick up. 

Step 3: Campaign Sales Dates

Title

Decide what dates between September 3 and October 17 you want to run your fundraising campaign. You can add this detail to your webpage.
 

NOTE: The last day for sales is October 17 and your webpage will no longer be active. We recommend you run your campaign for at least 2 weeks to maximize your sales potential.

Step 4: Promote

Title

Create a promotional flyer or use one of our downloadable ones found on the "Tool Kit" page to promote your fundraising campaign to your school community. Ask the school administration to email out the flyer or add to one of their weekly newsletters. Ensure all communication includes your personalized webpage link where your school community will order and pay for their products.

Step 5: Monitor Sales

Title

Your registered School Champion will be able to login to your personalized webpage to monitor your sales and view who purchased bundles that will be picked up at your school during your scheduled delivery date in November or early December (see Step 7). Due to the high cost of transportation there is a minimum order per school of 40 total bundles required (can be any combination of vegetable or apple bundles) before we can deliver the order to your school. This provides you an opportunity to further communicate and promote the fundraiser to your school community to ensure you meet the total order minimum.

Step 6: Order Confirmation

Title

After the final sales deadline of October 17, the registered School Champion will receive a confirmation email of the total sales and the 40% revenue that your school will receive by cheque from Fresh from the Farm for your fundraising efforts after product is delivered to your school.

Step 7: Product Delivery

Title

There will be one delivery of all product to your school between November 3 and December 4. The registered School Champion will be notified 10 days prior to your scheduled delivery so they can advise the school community when to pick up their ordered product at your school within 24 hours of delivery. The School Champion will also need to arrange volunteers (students, school staff, guardians, community members) to move the product from the doors of the school to a designated area for sorting the bundles.

Step 8: Delivery Day

Title

The School Champion will receive an email 10 days prior to delivery with an assigned delivery date and 3 hour delivery window (either 9am to 12pm OR 12pm to 3pm). If applicable, the delivery team will avoid the busy bus arrival and departure times and wait for the buses to clear prior to making the delivery. Deliveries occur Monday to Thursday so that there is sufficient time to distribute the product prior to the weekend. We are not able to take requests for specific delivery dates as our trucks are only in certain parts of Ontario on specific weeks in November and early December.

Step 9: Bundle Packing and Sorting

Title

Each of the Vegetable Bundle components (5lb bag Potatoes, 3lb bag Sweet Potatoes, 3lb bag Onions and 3lb bag Carrots) will arrive packed in their respective size consumer size bag in the growers master shipping bag or cartons. The School Champion will need to organize volunteers to pack one of each individual Vegetable Bundle component into a heavy duty paper bag that will arrive with your delivery for each Vegetable Bundle sold. The 8lb Apple Bundle is already packed into an 8lb consumer bag ready for distribution to your customers.

Step 10: Product Distribution

Title

It is important that the School Champion communicate the product pick up date at the school or child care centre to their customers so that product can be picked up within 24 hours of arriving at the school. If you receive a morning delivery the product should be picked up by your customers the same day. If you receive an afternoon delivery and cannot arrange to have the product packed for pick up the same day then pick up the next morning should be planned to ensure everyone receives the freshest product possible. The product chosen for the program will handle overnight storage at the school if kept away from heat sources.

Step 11: Fundraising Revenue

Title

A cheque with 40% of the total sales of the product that was sold by your school or child care centre will be mailed or couriered after all product has been delivered to the school. If an e-transfer of the funds is preferred please email us at contact@freshfomfarm.ca prior to product delivery.

Step 12: Thank You
